Receiving Operations Coordinator (Full-Time, Remote)

Position Summary

The Receiving Operations Coordinator is responsible for managing and optimizing all inbound operations processes to ensure accuracy, timeliness, and alignment with production and fulfillment needs. This role serves as the primary link between vendors, the warehouse (3PL), and internal teams to drive receiving performance, enforce vendor compliance, and prevent inventory discrepancies that impact kitting and order fulfillment. 

Key Responsibilities

Inbound Coordination & Execution

• Coordinate daily inbound shipments with vendors and 3PL partners to ensure timely and accurate receipt of goods
• Ensure all inbound shipments are properly documented, labeled, and aligned with purchase orders

Inventory Accuracy & Verification

• Oversee inbound verification processes including carton audits, SKU validation, and quantity checks
• Drive improvements in receiving accuracy through sampling programs, case pack validation, and root cause analysis
• Investigate and resolve discrepancies (shortages, overages, damages) in partnership with vendors and warehouse teams

Vendor Compliance & Communication

• Enforce vendor delivery standards including labeling, carton accuracy, and packing requirements
• Communicate directly with vendors to address inbound issues and drive corrective actions
• Track vendor performance and escalate recurring issues

3PL & Cross-Functional Coordination

• Act as the primary point of contact for receiving operations with the 3PL
• Ensure timely system transactions and inventory availability for production

Process Improvement

• Identify gaps in inbound and receiving workflows and implement scalable process improvements
• Support initiatives to reduce component shortages impacting kitting and production
• Evaluate tools/processes such as scale counting, sampling procedures, and pre-receipt validation

Reporting & Metrics

• Track and report on inbound KPIs such as:
  • Dock to Stock within SLA
  • On-time Purchase order rate
  • Receipt accuracy rates
  • Vendor compliance scorecards
  • Shortage and discrepancy rates
• Provide regular insights and recommendations to improve inbound performance

Qualifications

• 5-10 years of experience in inbound receiving operations, warehouse operations, or supply chain
• Experience working with 3PLs and vendor coordination
• Strong understanding of receiving processes
• High attention to detail with a focus on accuracy and accountability
• Proficiency in Excel/Google Sheets (data analysis, lookups, reporting)
• Strong communication and problem-solving skills

Preferred Qualifications

• Familiarity with ERP/WMS systems
• Experience with vendor compliance programs or inbound quality control
